Key Responsibilities
- Handle inquiries, schedule appointments, develop presentations, and fulfill various other office support functions.
- Organize and attend meetings, meticulously taking minutes and keeping detailed notes.
- Book rooms and conference facilities for internal and external gatherings.
- Maintain scheduling and event calendars, ensuring all appointments and deadlines are met.
- Coordinate travel arrangements for team members, including flights, accommodation, and transport.
- Arrange both in-house and external conference functions and events, managing logistics and catering.
- Order and maintain stationery and office equipment, ensuring adequate supplies are always available.
- Manage appointments and provide comprehensive office administration and support.
- Mail documents, newsletters, and other information as and when required.
- Prepare and type various documents, letters, and reports with accuracy and professionalism.
- Coordinate and implement office procedures to enhance efficiency and organization.
- Organize and store paperwork, physical documents, and computer-based information systematically.
- Photocopy and print various documents, sometimes on behalf of other colleagues.
- Complete forms accurately in accordance with company procedures.
- Type and distribute meeting notes, routine correspondence, and reports promptly.
- Receive and respond to correspondence, directing it to the appropriate individuals.
- Perform sorting, filing, and cross-referencing of materials and documents.
- Utilize, reconcile, and manipulate data for management reports from different internal and external sources.
- Capture data in a standardized format, ensuring consistency and accuracy.
- Maintain hard copy and electronic filing systems, ensuring easy retrieval of information.
- Manage, maintain, and update a wide variety of records, reports, and files.
- Distribute mail, retrieve and deliver files, and copy documents as needed.
- Locate and attach appropriate files to incoming correspondence requiring replies.
- Adhere to agreed service level agreements, ensuring timely and quality service delivery.
- Liaise with colleagues and external contacts to book travel and accommodation.
- Answer telephones, provide information to callers, take messages, or transfer calls to appropriate individuals.
- Liaise with staff in other departments and with external contacts to facilitate operations.
- Greet, refer, and assist visitors, clients, callers, staff, and others, handling their inquiries and directing them to the appropriate persons.
- Communicate effectively with internal and external clients.
- Monitor the use of expenditures and keep records thereof within the department for the manager.
- Compile records, organize, maintain files, and post records. Complete invoicing as and when required.
- Control stock of stationery and office supplies, ensuring efficient inventory management.
