Sales Administration Assistant (Contract) at Al Baraka Bank
Job Description
Al Baraka Bank Limited is seeking a diligent and organized Sales Administration Assistant for a 12-month fixed-term contract in KwaZulu-Natal. This crucial role provides comprehensive administrative support to the sales team, ensuring the smooth operation of various banking processes related to client accounts, FICA compliance, and deal settlements. The successful candidate will be instrumental in managing client communications, coordinating with internal departments, and maintaining meticulous records. Key Responsibilities
Office Administration
- Respond to internal emails from respective departments and external mail to clients in a timely and professional manner.
- Request settlement figures from the finance department as per client requests and log them accordingly once settled.
- Extract client statements upon request and liaise with clients regarding any settlement queries they may have.
- Liaise with the Conveyancing department concerning bond cancellations, the release of title deeds, and request the release of original logbooks upon deal settlement or client request.
- Request and follow up on audit certificates and bank confirmations as and when required, ensuring all associated fees are received.
Sales Administration
- Request and collate FICA information from clients, submitting it to the technical support team timeously, and assist with Ultimate Beneficial Owner (UBO) calculations and organograms.
- Attend to any debit order queries received and log any changes or suspensions with the Advances Technical Support team promptly.
- Assist clients with any deal-related queries, providing accurate and helpful information.
- Log and attend to any reimbursement and/or reconciliation requests with the Central Ops Debtors team when necessary.
- Ensure all fees, deposits, and settlements are correctly allocated to the appropriate accounts by submitting them to the BSA Allocations team.
- Address any allocation queries received from BSA β Central Operations efficiently.
- Print all legal agreements and relevant documents pertaining to deals for the respective managers (if required).
- Upload all revolving asset facilities and once-off motor vehicle and equipment facilities to the Advances Technical Support log timeously.
- Ensure all conditions, fees, and payments are accurately logged onto the Advances Technical Support system.
- Ensure all legal agreements and documents pertaining to deals are signed correctly and dispatched timeously.
- Upload Musharaka Sale of Units documents onto the Credit Work Log.
- Attend to valuation quotes and instructions, ensuring all requests are followed up diligently.
- Reconcile Valuators Statements on a monthly basis and facilitate monthly payments.
- Assist with Transactional Banking β Pre Dormancy and Dormancy accounts list to contact clients.
General
- Create and/or assist with STC (Standard Terms and Conditions) packs and upload them to TASL.
- Create and/or assist with payment packs and submit payments for vehicle and equipment deals.
- Provide Motor Vehicle Proxy packs as required.
- Draft manual fee invoices/journals where applicable.
Back Office Support
- Assist Consultants with general administration tasks on a daily basis.
- Attend to ad hoc tasks allocated by Managers, demonstrating flexibility and a willingness to support team objectives.

Requirements
- Matric certificate is essential
- A relevant Diploma or Degree would be advantageous
- Minimum of 1 year's experience within a financial services institution
- General banking experience is considered an advantage
- Proficiency in computer skills, including Microsoft Office at an intermediate level
- Knowledge of banking systems and bank procedures
- Understanding of Credit Policies and Procedures
- Familiarity with the National Credit Act (NCA)
- Strong administrative skills
- Knowledge of Financial Intelligence Centre Act (FICA) policies and procedures
- Understanding of Shariah laws and principles (advantageous for Al Baraka Bank)
- Knowledge of the Bank's products and services
