Job Description
The Department of Forestry, Fisheries and the Environment (DFFE) invites applications from dedicated, organized, and energetic candidates for the entry-level position of Administration Clerk based in Pretoria, Gauteng. As an Administration Clerk, you will manage day-to-day administrative coordination, oversee correspondence flow, support stakeholder engagements with public entities, and assist with financial, procurement, and travel administration. This opportunity provides invaluable exposure to public service prescripts, statutory reporting, supply chain compliance, and high-level stakeholder relations.
Key Responsibilities
Provide administrative and logistical support to the Directorate by receiving, tracking, and registering incoming and outgoing correspondence.
Liaise with relevant public entities regarding the submission of Strategic Plans, Annual Performance Plans, and Shareholder Compacts.
Perform preliminary analysis and compliance checks on draft performance plans against government guidelines.
Organize and coordinate monthly, quarterly, and special meetings for the Directorate.
Draft accurate meeting minutes, maintain records of proceedings, and follow up proactively on action lists.
Issue reminders to public entities for timely submission of quarterly performance reports and Portfolio Committee presentations.
Facilitate the distribution of Portfolio Committee presentations and Parliamentary questions to relevant public entities.
Manage correspondence with entities and rigorously follow up on outstanding queries and deliverables.
Assist in processing petty cash claims and the procurement of office goods and services in line with supply chain procedures.
Maintain confidentiality while securely dispatching official documents and files.
Coordinate travel logistics, itineraries, and accommodations for department officials.
Consolidate, review, and facilitate prompt travel claims for Directorate staff.
Oversee, organize, and maintain a robust physical and digital document filing system.
Support the financial administration and budget tracking of the Directorate.
Assist in preparing quarterly financial and non-financial performance reports.

Requirements
Grade 12 (Matric) Certificate.
A recognized National Diploma or Degree in Public Administration, Office Management, or Business Administration will be an added advantage.
Relevant administrative experience within a public or corporate environment is advantageous.
Basic knowledge of public service prescripts, procurement policies, and administrative procedures.
Sound understanding of financial management and supply chain management fundamentals.
Proficiency in computer packages including MS Office (Word, Excel, PowerPoint, Outlook).
Strong written and verbal communication skills.
Excellent interpersonal relations and client-orientation skills.
Sound planning, organizing, and minute-taking abilities.
Ability to work under pressure, manage tight deadlines, and work independently as well as within a team.
